Office Services Coordinator | Corporate Office

Job Summary

This position is responsible for the coordination of day to day operations of mailroom services, corporate office maintenance, processing invoices and corporate billing issues. Schedules equipment and security system maintenance. Provides updates and variances to Office Services Manager on a timely basis. Provides internal and external customers with ongoing assistance and vendor contact for service and billing issues. Responsible for providing excellent customer service to internal and external customers. Uses considerable tact and human relations skills in interacting with all levels of management, employees and vendors. Problem-solving and analytical skills required. Knowledge of proper machine operation on a variety of office equipment.

Essential Functions

  • Coordinates day to day operations for the Office Services department
  • Manage the schedule for company conference and meeting rooms
  • Maintain the stock levels for office and break room supplies and submit purchase requests to management when necessary
  • Assist with coordination of company events that take place during and after business hours
  • Attention to detail and proactive problem solver
  • Maintenance of office service processes and projects as directed
  • Maintains liaison with vendors and Property Management Company
  • Demonstrate excellent communication skills and considerable tact in interacting with all levels of management and employees
  • Responsible for assisting employees with questions and service requests
  • Update Office Services master documents and department Sharepoint site

Requirements

  • 3 plus years of experience in a corporate office environment
  • Proficiency in all Microsoft Suites; excellent analytical skills using Microsoft Excel
  • Proficiency in Sharepoint a plus
  • Excellent verbal and written communication abilities
  • Strong organizational and time management skills

  • Job is intermittently sedentary but requires mobility (i. e., climb stairs)
  • Will use some repetitive motion of hand-wrist in using computer and writing
  • Works in a typical office setting
  • Emotional stability and personal maturity are important attributes in this position
  • Must handle stressful, urgent, novel and diverse work situations on a daily basis
  • May require long hours and odd schedules (including weekends)
  • Position requires periodic travel by automobile to handle work-related activities
  • May require airline travel, out-of-town and /or overnight trips
  • Attendance and punctuality is essential for success in this position
  • Hazards can be minimized with proper lifting techniques, SDS, general safety training, and wearing appropriate PPE
