Business Manager for Sr. VP of Operations

Description

Position Summary:

The Business Manager will be responsible for supporting the SR. Vice President of Operations and SR VPO departments. This position will be responsible for administrative responsibilities, financial and accounting duties, project management and coordination, reporting, and assisting with projects and support requests as needed. The Business Manager will facilitate communication and coordinate efforts of the Regional Leadership Team and departments reporting to the SR. VPO. They will have the capacity to analyze data and produce reporting related to key performance indicators. The ideal candidate will have strong administrative experience, is very detail oriented and organized, possess the ability to drive tasks to resolution in a timely manner, strategic and forward thinking with corporate operations, and be a leader in improving operational processes and procedures across corporate functions.

Essential Responsibilities:

  • Provide weekly, monthly, and quarterly reporting for metrics, budgets, projects, and executive reports.
  • Help create and manage reporting for key performance indicators relating to operations.
  • Assist SR. VPO with tracking projects and company initiatives for scheduling, coordination, and reporting and driving to completion.
  • Work with S. VPO and departments on daily project documentation and project coordination.
  • Work with SR VPO and departments in identifying and improving and streamlining processes and procedures.
  • Work with accounting to track job code related invoices and expenses for projects and work orders.
  • Code invoices and bills for approvals with summary of expenses for trackability.
  • Manage daily accounting records of expenses and budget reporting.
  • Perform reconciliation of paid invoices and outstanding work orders and invoices.
  • Work on billing issues and service renewals with vendors.
  • Review expense reports for accuracy for approval.
  • Assist with the handling of logistics of shipping, mailings, and receiving/tracking deliveries.
  • Assist with group travel booking and arrangements for SR VPO and departments.
  • Maintain shared calendars of travels, out of office schedules, project work schedules, and travel booking.
  • Managing and administration of SR VPO calendars and coordination and scheduling of meetings.

Qualifications:

  • 6+ years of administrative, office manager, or project coordinator experience
  • 3+ years of experience supporting business units, departments, or organizations
  • 3+ years supporting or managing budgets and financials and reporting
  • Extensive and strong experience with MS Products (Word, Excel, PowerPoint, and Outlook)
  • Extensive and strong experience utilizing on-premise and cloud-based collaborations tools
  • Strong interpersonal, verbal and written communication skills
  • Strong project coordination and decision-making skills
  • Demonstrates capacity for organization, prioritization, and documentation
  • Willingness to take ownership and show initiative with minimal supervision or direction
  • Ability to work effectively on a team or alone, and work cooperatively with all levels ofassociates
